IMPORTANT ALERT FOR QUICKBOOKS AND WINDOWS USERS: If you are using QuickBooks 2005 or older, WAIT TO INSTALL YOUR NEW WINDOWS UPDATES. Because of the significant security changes to Internet Explorer 7, there is not an available QuickBooks update to make the changes compatible. The QuickBooks update will be released soon for 2005.

If you are using an older version than 2005, you will need to upgrade to 2007.

Also, if you have plans to upgrade your computer to Vista, QuickBooks 2007 is the only version that will work. This is due to extreme operating system changes.

Reminder: Make sure you have updated your QuickBooks if you are using QuickBooks 2006 or 2007.

Is your QuickBooks file set up for maximum effectiveness as a practice management tool? Most likely your file was originally designed to help your accountant with preparing your taxes, and while this is a noble cause, it is not usually best for you, in your role as a business owner.

The good news is that you don't have to choose! I am offering a new "File Review" service, in which I will review your QuickBooks set up and recommend changes/revisions that will enable it to work more effectively for you. (Don't worry. It will still work for your accountant as well!)

For instance:

  • Removal of redundant accounts
  • Correct differentiation between major and minor expenses
  • Patient Reimbursement - is yours set up correctly? (Often it is not!)

Here's what to do:

  1. Order and pay for the File Review by sending me an email (do not include credit card information, I will contact you), or clicking on the PayPal link at the bottom of this newsletter.
  2. When your order is received, you will be emailed instructions regarding how to email your QuickBooks back-up copy or portable file.
  3. I will review your QuickBooks file and send you an Analysis Report of errors and possible changes. I will make NO changes.
  4. Additional time for an additional fee can be scheduled to review the recommended changes, and/or to make these changes with my help.

    What's New in QuickBooks 2007?
     


    QuickBooks 2007 is now available. If you are currently using QuickBooks 2005 or earlier, now is the time to upgrade. (See below for more information on when it's time to upgrade.)

    Significant changes to 2007 include:

    Payroll set-up screen: The newly-revised payroll setup interview has made this step-by-step process much easier to understand, with more complete explanations. Simply follow the instructions, complete the screens, and you are ready to go.

    Payroll Center: Payroll has the greatest number of changes that will affect your practice, making it easier and smoother to create payroll and pay liabilities. In the Payroll Center, you can now create a payroll schedule to tell QuickBooks how often and when you need to create payroll. When you are ready to create payroll, click Start Scheduled Payroll and create your payroll all in one screen. You can schedule your taxes for easy payment reminders and create payments from the same section.

    New E-Pay Feature: New this year in Beta (test) format is E-pay, making your payroll taxes in QuickBooks easier to pay than ever. With E-pay, you set up your federal and selected state payroll taxes to be e-paid, track the amounts in the Payroll Center, and submit your payment information electronically from your QuickBooks company file to the appropriate agency.

    Google Marketing Tools: The Google Marketing Tools icon on the QuickBooks Homepage allows you to promote your business on Google Maps and help new patients find your practice by using Google AdWords.

    QuickBooks Time Tracker: This is a subscription-based service that works with QuickBooks so employees and vendors can track their own time, online. The subscription is $7 per user, per month. This service is ideal for companies whose employees work outside of the primary location, tracking time for various projects and various customers. In my opinion, QuickBooks Time Tracker is not of great value to the majority of practices because the software is more geared to piece-work than an 8-hour time clock, and the annual cost is prohibitive for most small practices.


    System Requirements

    QuickBooks 2007 also requires your PC to have the following system requirements:
    • A minimum 1.8GHz P3 processor, up from 1GHz last year
    • 512 MB RAM (Memory), up from 256 MB RAM
    • Increased hard drive space for installation and operation

    Though the majority of QuickBooks 2007 changes are more cosmetic than technical, the changes continue to make QuickBooks easier and easier for a practice to use. And that’s always good news!


    QuickBooks 2007: Should You Upgrade?
     


    With each new release of QuickBooks, I'm frequently asked whether or not it's necessary to upgrade. The answer is simple: your QuickBooks software should never be more than one year behind the latest release.

    So now is the time to upgrade if you are using QuickBooks 2005 or earlier.


    From the email bag: Force Reconcile?
     


    “Hi Susan, I bought your book recently and am still a little rusty using QuickBooks. When I did the bank reconciliation this past month, one of the QuickBooks deposits didn't match the bank. I checked the physical deposit and the bank had it correct but it was entered into QuickBooks incorrectly. I went ahead and had QuickBooks reconcile, putting an adjustment somewhere. Was this right?

    Response: No. Instead, double click on the incorrect transaction, deposit or withdrawal, make the correction, then Save & Close. Return to the Reconciliation window and be sure the corrected transaction is selected. This keeps your accounting clean.
